Hvilke persondata vi indsamler

  • Kontooplysninger: navn, e-mailadresse, sprogvalg og loginoplysninger (adgangskoden gemmes kun som krypteret hash).
  • Organisation og roller: hvilken organisation du tilhører, din rolle og invitationer.
  • Indhold du lægger i TedBid: udbudsmateriale, tilbudsdokumenter, svarudkast, kommentarer og chatbeskeder. Indholdet kan indeholde persondata om andre, fx kontaktpersoner.
  • Aktivitetslog: hvem der har oprettet, ændret eller godkendt hvad og hvornår, herunder handlinger foretaget via en AI-assistent.
  • Forbindelser: oplysninger om tilknyttede tjenester (fx Microsoft SharePoint/OneDrive eller AI-assistenter via MCP), herunder klientens navn og tidspunkter.
  • Tekniske data: IP-adresse, browsertype og fejllogs, når du bruger tjenesten.

Formål og retsgrundlag

Vi sælger ikke persondata og bruger ikke dit indhold til at træne AI-modeller.

  • At levere TedBid efter aftalen med dig eller din organisation (GDPR art. 6, stk. 1, litra b).
  • At behandle indhold med AI-funktioner, når du beder om det, fx kravudtræk, svarudkast og review (litra b).
  • Sikkerhed, fejlfinding og forebyggelse af misbrug (legitim interesse, litra f).
  • Driftsbeskeder som påmindelser om frister og nye udbud efter dine indstillinger (litra b).

Databehandlere

Vi bruger disse databehandlere, som kun må behandle data efter vores instruks:

  • Lovable Labs Incorporated — drift og hosting af applikationen, database, fillagring, e-mailudsendelse og AI-gateway.
  • Supabase, Inc. — database, login og fillagring (via Lovable Cloud).
  • Cloudflare, Inc. — hosting og netværk.
  • Google LLC og OpenAI, L.L.C. — AI-modeller, der behandler tekst, når du bruger AI-funktioner (via Lovable AI-gateway).
  • Mailgun Technologies, Inc. — levering af e-mails.
  • Microsoft Corporation — kun hvis du selv forbinder SharePoint eller OneDrive.

Overførsel til lande uden for EU/EØS

Flere databehandlere har hjemsted i USA. Overførsler sker på grundlag af EU-Kommissionens standardkontraktbestemmelser eller EU-US Data Privacy Framework, hvor leverandøren er certificeret.

Opbevaringsperioder

  • Kontooplysninger: så længe kontoen er aktiv og slettes senest 30 dage efter, at kontoen er lukket.
  • Indhold i en organisation (udbud, dokumenter, svar, chat): indtil det slettes af en bruger, og senest 30 dage efter, at organisationens aftale er ophørt.
  • Aktivitetslog: 24 måneder.
  • Log over integrationer og forbindelser: 12 måneder.
  • Tekniske logs og fejllogs: 30 dage.
  • Forbindelser til AI-assistenter: indtil du fjerner forbindelsen eller lukker kontoen.

AI-assistenter via MCP

Du kan forbinde TedBid til en AI-assistent som Claude (Anthropic) eller ChatGPT (OpenAI) via TedBids MCP-server. Forbindelsen oprettes kun, når du selv logger ind og godkender den på TedBids godkendelsesskærm.

Når forbindelsen er aktiv, kan assistenten på dine vegne læse dine tilbudssager, udbudsmateriale, krav, svarudkast, afleveringsdokumenter og frister i din aktive organisation, og ændre svarudkast og tekstdokumenter samt oprette tilbudssager. Assistenten kan ikke se andre organisationers data, ændre ordregiverens udbudsmateriale eller godkende, aflevere eller slette noget.

Data, som assistenten henter, sendes til assistentens udbyder og behandles efter dennes vilkår og privatlivspolitik, hvor du (eller din organisation) er kunde. Anthropic og OpenAI er ikke TedBids databehandlere for den del.

Vi gemmer, hvilken klient der er forbundet, og logger ændringer foretaget via forbindelsen i aktivitetsloggen. Login-tokens håndteres af vores loginsystem og vises aldrig i appen. Du kan fjerne forbindelsen når som helst i assistenten.

TedBid bruger kun nødvendig lokal lagring i browseren til login og sprogvalg. Vi bruger ikke reklame- eller sporingscookies.

Data controller

Personal data we collect

  • Account details: name, email address, language and sign-in data (passwords are stored only as encrypted hashes).
  • Organisation and roles: which organisation you belong to, your role and invitations.
  • Content you add to TedBid: tender material, submission documents, draft answers, comments and chat messages. Content may include personal data about others, such as contact persons.
  • Activity log: who created, changed or approved what and when, including actions taken through an AI assistant.
  • Connections: details of linked services (such as Microsoft SharePoint/OneDrive or AI assistants via MCP), including client name and timestamps.
  • Technical data: IP address, browser type and error logs when you use the service.

Purposes and legal basis

We do not sell personal data and do not use your content to train AI models.

  • Providing TedBid under the agreement with you or your organisation (GDPR art. 6(1)(b)).
  • Processing content with AI features when you ask for it, such as requirement extraction, draft answers and review (art. 6(1)(b)).
  • Security, troubleshooting and abuse prevention (legitimate interest, art. 6(1)(f)).
  • Service messages such as deadline reminders and new tender alerts according to your settings (art. 6(1)(b)).

Data processors

  • Lovable Labs Incorporated — application hosting and operation, database, file storage, email delivery and AI gateway.
  • Supabase, Inc. — database, sign-in and file storage (via Lovable Cloud).
  • Cloudflare, Inc. — hosting and network.
  • Google LLC and OpenAI, L.L.C. — AI models that process text when you use AI features (via the Lovable AI gateway).
  • Mailgun Technologies, Inc. — email delivery.
  • Microsoft Corporation — only if you connect SharePoint or OneDrive yourself.

Transfers outside the EU/EEA

Several processors are based in the USA. Transfers rely on the European Commission's Standard Contractual Clauses or the EU-US Data Privacy Framework where the provider is certified.

Retention periods

  • Account details: while the account is active, deleted no later than 30 days after the account is closed.
  • Organisation content (tenders, documents, answers, chat): until deleted by a user, and no later than 30 days after the organisation's agreement ends.
  • Activity log: 24 months.
  • Integration and connection log: 12 months.
  • Technical and error logs: 30 days.
  • AI assistant connections: until you remove the connection or close the account.

AI assistants via MCP

You can connect TedBid to an AI assistant such as Claude (Anthropic) or ChatGPT (OpenAI) through TedBid's MCP server. A connection is only created when you sign in and approve it on TedBid's consent screen.

While connected, the assistant can, on your behalf, read your bids, tender material, requirements, draft answers, deliverables and deadlines in your active organisation, and change draft answers and text documents and create bids. It cannot see other organisations' data, change the buyer's tender material, or approve, submit or delete anything.

Data the assistant retrieves is sent to the assistant's provider and processed under that provider's terms and privacy policy, where you (or your organisation) are the customer. Anthropic and OpenAI are not TedBid's processors for that part.

We store which client is connected and log changes made through the connection in the activity log. Sign-in tokens are handled by our sign-in system and never shown in the app. You can remove the connection at any time in the assistant.

  • Right of access to the personal data we process about you.
  • Right to rectification of inaccurate data.
  • Right to erasure where the conditions are met.
  • Right to restriction of processing and to object.
  • Right to data portability for data you have provided.

Cookies and local storage

TedBid only uses necessary local browser storage for sign-in and language choice. We do not use advertising or tracking cookies.
